CURE Protocol Privacy Policy
Effective date: 2026-09-30
Ultimate Chemicals operates the CURE Protocol application. This policy explains how information is used to process submitted coolant laboratory reports and describes the optional report notification service.
1. Information collected
When you submit a report, you provide your name, email address, company, uploaded laboratory report, and any optional field notes.
Uploaded reports may contain customer information, equipment identifiers, laboratory results, sample dates, laboratory comments, and other information included in the original document. Submit only information you are authorized to provide.
The application produces extracted readings, analysis, recommendations, generated reports, submission identifiers, and processing records.
When you request SMS, we collect any mobile number you supply, whether you selected SMS delivery, the submission date and time, the associated report identifier, and the version of the disclosure accepted. Delivery and opt-out records are maintained to administer the service and prevent unauthorized or duplicate notifications.
2. How information is used
Information is used to:
- Process and analyze your submitted laboratory report.
- Generate and identify your CURE Protocol report.
- Store and retrieve reports in private storage.
- Deliver requested report notifications when the applicable delivery service is available.
- Investigate processing failures and provide customer support.
- Maintain consent, delivery, security, and service operation records.
Your submitted contact information identifies the person submitting the report. It is kept distinct from customer or sample information appearing in the laboratory report.
3. Optional SMS notifications
When SMS is offered on the submission form, you may request one automated text containing a secure link to the completed report for that submission.
SMS consent is optional and is not required to submit a report. Entering a mobile number alone will not authorize a text. You must actively select the SMS checkbox for each submission.
This choice will not enroll you in marketing or recurring text messages. Consent from an earlier submission will not authorize a notification for a later submission.
Message and data rates may apply.
4. Mobile information and consent privacy
Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes.
SMS opt-in data and consent will not be sold, rented, or transferred to another party for its own messaging or marketing use.
We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes.
Service providers may process mobile numbers, message content, delivery information, and consent or suppression information only as necessary to provide and administer the CURE messaging service. This does not authorize those providers to use your consent for their own marketing.
5. Service providers and internal review
Service providers may process information as necessary to operate CURE, including hosting, document extraction, private storage, email delivery, and SMS delivery.
The application uses Google Cloud services, Microsoft 365 for email, and Twilio and participating carriers for SMS.
SMS delivery requires processing the destination number and message content, including the report access link. Email delivery or internal review may involve report information and attachments.
If automatic processing fails, the original upload and available failure information are retained for authorized review when storage succeeds. The service attempts to email the original uploaded file and diagnostic codes to the designated internal review mailbox, and separately email the submitter that the issue is being reviewed. These service emails do not depend on selecting an optional report-ready notification. The submitter's acknowledgment contains no attachment or internal diagnostic codes. Email delivery can fail; contact support if you need assistance. A report-ready SMS is sent only when a completed, saved report exists.
Authorized Ultimate Chemicals staff may receive an internal submission alert for service monitoring regardless of whether you request SMS. This alert goes only to the configured internal recipient and does not authorize a text to you. It contains the submitter name, email address, supplied phone number when available, a report identifier, and a link to the authenticated Admin page so authorized staff can identify the submission and provide follow-up support. Supplying a phone number does not authorize a customer text without the separate SMS selection.
6. Report access and security
The report-link service keeps report files in private Google Cloud storage and uses an unpredictable access credential limited to the associated report.
Anyone who possesses a valid report link may be able to view or download that report. Share your link only with people you authorize.
Links may expire or be revoked. Expiring or revoking a link does not remove copies already downloaded and does not, by itself, delete the stored report.
Access controls and other safeguards will be used to protect stored information. No method of transmission or storage can guarantee absolute security.
7. Retention and privacy requests
Information will be retained as needed to process reports, provide access and support, maintain consent and delivery records, honor opt-outs, and satisfy applicable legal obligations.
Report retention and link expiration are separate. A specific retention period will not be represented as established until it has been approved and implemented.
To request access to, correction of, or deletion of information associated with your submission, contact cureapp@ultimatechemicals.com. We may need to verify your authority before fulfilling a request. Some records may need to be retained to meet legal obligations or continue honoring an opt-out.
8. SMS choices and support
Reply STOP to opt out of further CURE report notifications to that number.
Submitting another form will not automatically remove a previous messaging block. START or UNSTOP may restore messaging eligibility, but neither will authorize a report notification without the required consent for that submission.
Reply HELP for program assistance when supported, or email cureapp@ultimatechemicals.com. Email support remains available if text replies are unavailable.
9. Policy updates
Changes to this policy will be posted with an updated effective date. Policy changes will not convert an earlier report-specific SMS consent into permission for marketing, recurring messages, or unrelated reports.
